QUALIFICATIONS:
- High School diploma with postgraduate secretarial study preferred
- High level of technical skills including typing of 60 words per minute and familiarity with a variety of office machines
- Proficiency with computer applications and technology
- Ability to serve the public, faculty, and students in professional, efficient, and pleasing
manner
- Ability to manage multiple projects
- Well-organized and adept at organizational procedures
- Ability to work with a minimum of supervision
- Effectively deal with students, parents and public in an efficient and pleasant manner
- Knowledge of current office practices and procedures, including familiarity with PowerSchool, Naviance, eSPED and Softright
- Such alternatives to the above qualifications as the Superintendent of Schools may deem
appropriate and acceptable
RESPONSIBILITIES:
- Welcome new students and families seeking school information and registration procedures. Followed by assisting them with the enrollment process including supporting families with English translations or other supportive needs.
- Perform a variety of secretarial duties
- Provide clerical support to the Guidance Department, including mid-term grades, final grades, scholarship and college applications, transcript grades and registration of new students
- Manage office routines pertaining to the department budget, ordering supplies, purchase orders mail, telephone, attendance, homework requests, correspondence, and filing systems
- Handle reports and materials concerning the operation of the office
- Organize and maintain current student files and graduate records
- Organize all transcript requests for present and past students
- Prepare transcripts for transfer students and out of district students
- Assist with correspondence, reports, and notices when requested
- Perform a variety of secretarial duties
- Assist Guidance Counselors with clerical duties as needed
- Assist Guidance Director with the management of department programs, projects, and events
- Perform such other tasks as may from time to time be assigned by the Principal
REPORTS TO: Principal, Guidance Department Head
SALARY: In accordance with the Secretarial contract.
